Cancellations:

Cancellation & Weather Policy

We strive to accommodate our customers in all situations, including unforeseen weather or emergencies. To ensure fairness and clarity, we have established the following cancellation and weather guidelines:

Cancellation Notice

  • All cancellations must be made at least three (3) days before your rental date.

  • Customers are responsible for notifying our office before the driver arrives for delivery on the day of the rental if they wish to cancel.

  • Once equipment has been delivered, the full rental amount is due, regardless of total time used.

Weather-Related Cancellations

  • We monitor local weather conditions closely and continuously in order to maintain safety for our customers.

  • Because the weather can vary greatly across different parts of town, we do not automatically cancel rentals due to rain.

  • Rentals will only be canceled if conditions are deemed unsafe to operate (e.g., heavy rain, high winds, or severe storms).

  • Customers are encouraged to stay informed about weather conditions by watching or listening to local forecasts.

Important Reminders

  • Decisions to cancel due to weather or any other reason must be made the day before or the morning of your event.

  • Please contact our office directly with any questions or concerns regarding cancellations or weather conditions.

 

Deposits & Refunds

Rental Deposit & Refund Policy

All rentals require a minimum deposit of $50. Please note that all deposits and any funds paid toward a rental (whether partial or full payment) are non-refundable, except in cases where the event is canceled due to inclement weather.

In addition, the following fees are also non-refundable:

  • Funds applied to add a renter as an additional insured under our insurance policy (as the insurance company does not reimburse these costs).

  • Credit card processing fees.

  • Administrative fees associated with the rental.

Because each booking reserves the equipment for a specific date, the likelihood of re-renting the equipment to another customer is significantly reduced. For this reason, we are unable to refund deposits or any payments once a reservation has been made.

 

Bad Weather

Inclement Weather Policy

If inclement weather is forecasted for the date of your event, our office will contact you in advance to discuss your contingency plans. We will also follow up the morning of your event, or while en route, to confirm how you would like to proceed.

If you elect to move forward with the event despite weather concerns, you remain responsible for the remaining balance. Should we arrive and heavy rain is occurring, we will make every effort to wait until conditions improve to a level where the train can safely operate. Please note, however, that we can only wait to the extent it does not interfere with our arrival time for subsequent events.

If you choose to cancel due to weather, you may do so by notifying our office either the day before or the morning of your scheduled event to receive a full refund. We are committed to working with you to accommodate your needs and ensure the best possible outcome given the circumstances.
